Corporate AV services in Dallas-Fort Worth, from the general session to the last breakout room.
Sound, video, projection, lighting and live streaming for conferences, general sessions, boardrooms, product launches, award nights and quarterly meetings. Corporate event AV and audio, all of it specified, delivered, set up and operated by our own AV technicians. One vendor, one load-in, one person responsible when the room fills up.
Corporate audio visual services from an AV company that puts a technician in the room.
Picture the morning of a general session. Doors are at eight. The keynote deck arrived at eleven last night with a video buried in slide nine, the house system has one input and a hum, and three hundred people are in the hallway holding coffee. That is the room an audio visual company in Dallas exists for, and it is the room we are built for. Dallas Event Audio provides corporate audio visual services end to end: we specify, deliver, set up and operate the entire AV system (microphones, sound, projection, displays, lighting and streaming) with our own technicians in the room until the last breakout lets out.
We have been doing this in Dallas-Fort Worth since 2001, which in practice means we have already worked in most of the hotels, conference centers, corporate campuses and ballrooms you are likely to book. We know which ballrooms have a usable house system and which ones have a ceiling that will fight you, where the power is, and how long a load-in really takes when the loading dock is shared with catering.
The structural difference is simple. On a corporate event, each system goes out with the technician who builds it, line-checks it, runs it during the event and takes it away afterwards. That is the reason the room works.

Corporate event AV: four disciplines, one crew, one contract.
Most corporate AV problems are handoff problems. The audio company blames the video company, the video company blames the venue, and the person who booked all three is the one standing at the back of the room during the CEO’s opening remarks. We supply all four disciplines ourselves, so the whole chain belongs to one crew.
Sound and microphones
Speech is the entire product at a corporate event, so corporate event audio is built around it. Wireless handhelds, lavaliers, podium and tabletop microphones, PA sized and aimed for the room, and a mixer run by a person rather than left on a preset. Every microphone carries our AI-powered De-Feedback system as standard, which catches the ring before a room full of people hears it.
Projection, displays and switching
Projectors and screens sized to the throw and the ambient light, TVs for breakouts and lobbies, confidence monitors so the presenter faces the room, and a switcher between the laptops so slide changes and speaker changes happen with the big screen showing only slides. See projector & screen rental for the equipment side.
Stage and room lighting
Front light so faces read on camera and from the back of the room, uplighting to bring a flat ballroom up to the brand, a follow spot for award presentations, and logo or monogram projection where it makes sense. Our lighting services run on the same crew and the same load-in as the audio and video.
Live streaming and capture
Multi-camera live streaming to the platform your company already uses, with the audio patched directly from our mixer rather than picked up by a camera mic, so remote attendees hear the same processed, De-Feedback’d speech the room hears. Recording and photo and video coverage can go on the same booking.
What “AV production” covers.
It is a phrase every company uses and each one means something different by it. When we quote AV production for a corporate event, this is what is inside it: four jobs, and every one of them happens on every event.
01. Planning the room before anyone is in it
Reading the floor plan and the run of show, working out where the system has to go so that sightlines, coverage and cable runs all survive contact with the actual venue, and agreeing a load-in window with whoever owns the loading dock. This is the part that decides whether event day is calm.
02. Building and testing the system
Rigging and cabling the audio, video and lighting, powering it in a way the venue’s circuits can support, then line-checking every input (every microphone, every laptop, every playback source) long before the first person walks in.
03. Operating it live
A technician on the console for the whole event, riding levels as speakers change, cutting between sources, catching the lapel that needs re-clipping, and handling the five minutes of the schedule that always change on the day.
04. Getting out cleanly
Striking the system quietly while guests are still finishing their drinks, and taking every case out on our truck so your team walks out with empty hands.
Event technology, run by the people who installed it that morning.
Event technology services is the broader version of the same job: everything in the room that has to be powered, connected and working at a specific minute. Presentation switching and slide advance, confidence monitors, hybrid connections for remote presenters, wired and wireless audio distribution, video record feeds, and the network-dependent pieces that quietly decide whether a remote panelist joins on time.
The difference between event technology that works and event technology that becomes the story of the day is rarely the equipment. It is whether the person who built the system is still in the room when something changes, and at a real corporate event, something always changes. A speaker arrives with a different deck. A panel moves from four chairs to five. The keynote runs eleven minutes long and the breakouts have to absorb it.
We staff for that, and it is what AV support for corporate events means to us. The technician who loads in is the technician at the console, so the setup lives in one head all day.
Conference AV services: every room type has its own problem.
A conference is rarely one AV job. It is a general session, several breakouts, a boardroom, a lobby and an evening reception, all running on overlapping schedules with the same crew moving between them. We run conference AV in Dallas end to end, with AV support in every room on the program, from the first load-in to the last case going back on the truck, and we quote it as one production rather than five rentals.
General session and keynotekeynote AV Dallas
Rig line array or point source · projection · stage lighting · FOH tech
The main room, and the one everything else is judged by. Line array or point-source sound depending on the depth of the room, large-format projection or LED-lit screens, stage and podium lighting, presentation switching, and a technician at front of house for the whole session. Keynote AV is where we build in extra headroom, so the opening remarks land the way the speaker rehearsed them.
Breakout roomsmeeting AV services
Rig self-contained sound · display · 1 handheld and 1 lavalier per room
Smaller, faster and tighter, because breakouts usually turn over on a fifteen-minute gap. Self-contained sound, a display or projector, a wireless handheld and a lavalier per room, all pre-set and labeled so a session change is a button press instead of a sprint between three doors.
Boardrooms and executive meetingsboardroom AV
Rig tabletop mics · display · clean feed for remote
Tabletop microphones with even pickup around the table, a display everyone can read, and a clean, quiet feed for whoever is dialing in. Discreet is the specification here: the AV stays invisible and the meeting opens on time, with the remote side already connected.
Ballrooms, galas and award nightscorporate event production
Rig podium mic · band or DJ system · follow spot · lighting
Speech, music and lighting have to coexist, usually with a podium, a band or DJ and an awards run. We handle the transitions: the podium mic that has to be live the moment the walk-up music ends, the follow spot that has to find the right person, and the level change between an acceptance speech and the next music cue. At a franchise conference in a Westin ballroom this spring, the sponsor wall on the screen, the blue wash on the walls, the podium mic and the projector under the screen all came off one truck and were run from one table at the back.
Product launches and activationsbrand activation AV
Rig accent lighting · point-source sound · fast-build staging
Higher production value in a smaller footprint, often in a space designed for something else. Lighting the product properly, keeping the sound intelligible in a hard-surfaced room, and building the whole thing inside a load-in window measured in hours rather than days.
Trade shows, panels and hybridhybrid event AV
Rig localized sound · panel mics · stream feed off our mixer
Localized sound that carries to your booth or stage and stops at the aisle, microphones for panels where four people share three mics, and a streaming or recording feed taken off our mixer so the remote audience hears the room properly. See live streaming for the hybrid side.
AV rental that arrives with the person who knows how it works.
Plenty of companies in Dallas will rent you audio visual equipment. What happens in the ninety minutes after the gear arrives is what decides whether the rental works.
Every corporate AV rental includes a technician.
Every audio visual rental we quote for a corporate event includes delivery, rigging, cabling, power, a full line check and an AV technician who stays for the event and strikes it afterwards. What you are booking is a working room.
That covers the whole inventory: PA and sound equipment rental, wireless and podium microphone rental with De-Feedback, projectors, screens and displays, uplighting and stage lighting, and professional DJ services for the parts of the evening that are meant to be fun. It all goes on one contract, one load-in and one point of contact.
It also changes the cost comparison. A cheaper equipment-only quote is a quote for a pile of equipment plus however many of your own team’s hours it takes to make it work, plus the risk it carries. We would rather quote the whole thing honestly.
Five steps, and you are only in two of them.
This is the sequence for essentially every corporate event we run, from a forty-person quarterly meeting to a full conference general session. The scale changes and the shape stays the same.
Advance
We review the run of show, the venue and the floor plan, confirm what the house supplies and what we bring, and coordinate the load-in window with the venue directly.
Load-in and setup
We arrive early, build the system, dress the cable clear of every walkway, and run full line checks on every microphone, laptop and playback source.
Rehearsal
Speakers test their microphones and their slides before doors open. Presenters who have done this before ask for it, and first-timers are grateful for it.
Showtime
A technician operates sound, video and lighting throughout, adjusting as speakers, panels and the schedule change. Your team watches the show and ours runs the console.
Teardown
We strike quietly and completely once the room clears, and every case leaves on our truck. Your team’s morning starts clean.
The formats we are booked for most.
Different rooms, same discipline. These are the six formats we quote most often across Dallas-Fort Worth, in hotel ballrooms, conference centers and the corporate event venues around Dallas, Fort Worth, Irving, Plano and Frisco. If your company event is missing from this list, it almost certainly still fits.
Conferences and annual meetings
Multi-day, multi-room productions with a general session, breakouts and receptions running on one crew and one schedule.
Product launches and activations
High-impact rooms built in short load-in windows, where the lighting and the sound are part of how the product is presented.
Award shows, galas and fundraisers
Podium speech, music and a follow spot working together, with transitions handled so the run of show keeps moving.
Executive and shareholder meetings
Discreet systems, clean tabletop and lapel audio, and a reliable feed for remote participants and for the record.
Company holiday parties and team celebrations
The company Christmas party and the end-of-year celebration: sound for the speeches, then a dance floor, lighting and a DJ, all on one crew and one contract.
Trade shows, panels and networking
Contained sound that serves your space and stops at its edge, plus panel microphones and streaming or recording feeds.
Recurring meetings get easier the second time.
A lot of our corporate work is a series: a quarterly all-hands, a monthly training series, a sales kickoff that happens in the same ballroom every January, or a board meeting that recurs on a schedule. Those are the bookings where having the same AV company pays off a little more each time.
By the second event we already have the room documented: where the power is, which walls reflect, how long load-in really takes, which parts of the house system to use and which to bring. The advance conversation gets shorter every time, and the setup gets faster. A software company’s headquarters in Dallas is the pattern: an open office with a mural for a backdrop, a projector screen on a frame, a panel on stools, our mixer and a wireless handheld on the back table, and the whole meeting on Zoom for the offices that could not be in the room. We have set that room up more than once, and by now the advance call is a text message.
We are happy to be quoted event by event or set up as a standing AV partner for a series. Either way, the same crew shows up, which is the part that matters.
Six reasons planners come back.
Every AV company in Dallas has similar equipment. What you are choosing between is how it gets used, and who is standing behind it when the schedule moves.
The technician comes with it
On a corporate event, each system is delivered, built, line-checked and operated by the technician who arrives with it, on purpose.
One vendor, four disciplines
Audio, video, lighting and streaming come from the same crew on the same contract, so one crew owns the whole chain and one person solves it when something comes up.
De-Feedback on every microphone
Our AI-powered De-Feedback system is standard, catching the ring before a room full of people hears it. Speech clarity is the thing we are most obsessive about.
Insured, with COIs on request
We are fully insured and send certificates of insurance to your venue directly, along with whatever load-in paperwork their operations team needs.
We know the DFW venues
Since 2001 in the same market. We have already worked most of the hotels, conference centers and corporate campuses you are likely to book, and we plan accordingly.
Quiet in the room
Our crew dresses appropriately, stays out of your photographs, communicates with your planner rather than around them, and strikes quietly after the close of the event.
Sound, microphones, projection, streaming, lighting or a DJ, each bookable on its own.
Corporate events are usually quoted as a whole production, but every element below is also a standalone service with its own page. Anything on this list can be added to an existing booking on the same load-in.
Audio services
PA, mixing, monitors and a technician on the console. The foundation under every corporate room we build, from a boardroom to a general session.
Microphone rental
Wireless handhelds, lavaliers, podium and tabletop microphones, every one of them running our AI-powered De-Feedback system as standard.
Projector & screen rental
Projection and displays sized to the throw distance and the ambient light, with confidence monitors and switching between presenter laptops.
Live streaming
Multi-camera streaming to your platform with audio taken straight off our mixer, so remote attendees hear the same clean speech the room hears.
Lighting services
Stage and front light, uplighting to the brand color, follow spot for awards, and logo or monogram projection where the room calls for it.
DJ services
Professional DJs for holiday parties, receptions and the back half of an awards night, working on the same system and the same load-in.
